Privacy Policy How do we collect information about you? We collect information from you via our website, correspondence, fax & phone and including any other method by which your personal information may be disclosed directly or indirectly to us through such mediums as forms or account applications. This is not an exhaustive list of the many ways we are able to collect your personal information; to reassure you we would like to make it clear that we will only keep on file the information that you volunteer to us. How do we use your information? We will use the information we collect from you to send you information on special offers that we feel may be of interest to you. Your information will be held in our database for future analysis and to help us provide an improved service to you. We will also use your information for marketing purposes, where this does not directly expose your personally identifiable information to public scrutiny. How is my information stored? The information we collect is kept on paper file and in electronic format, this information where it is electronic is encrypted and password protected. Paper files are kept securely stored in our office and locked away at the end of everyday We take all reasonable precautions when protecting your information, including using firewalls and anti-virus software for our electronic files and using solid, quality locks where paper files are concerned. Access to our computer systems and our filing system are close monitored. Who has access to my details? Your details are only given to individual members of staff as their job requires it; the information released to them will be the minimum needed to complete their task. The marketing department have access to personal information held; this is only used internally and at no time will they make copies of the information released to them; where the circumstances require them to take records of company premises in the execution of their duties they are required to provide an accurate list of what information is to be taken and upon their return they will be required to show that information has returned. At no point is your information sold to third parties; third parties will only be allowed access to your information where you have given express information. How can I access the information you hold about me? We are happy to disclose all information that we hold on you; you can access your file at any time by sending a cheque for £10, made payable to Caunton Access Ltd. We will confirm by phone or email that it is you that has requested this information by using information you have given us; once your request has been confirmed your report will be dispatched within 28 days. Do I have the right to have my details removed? Caunton-Access are always considerate of customers desire for privacy and as part of our commitment to keeping your details private we do offer you the opportunity to opt out of our marketing efforts and other informational pieces we may send to you periodically. If you are unhappy with the way your information is handled then you have the right to ask us to remove you from our databases; except where we are required by law to keep that information.
